Affiliates tracking by admin for manual assignment

Hello, I would like to ask for advice on how to set up Affiliates the way that I can see in the dashboard who is referred by whom.
The reason why this is important for me is that customers can place orders online and also over the phone, in such cases I have to credit the correct referrer manually. For that, I have to see who that is.
Is there any add-on to have a track of referrers’ performance?
I am not much tech-savvy and so if I have to insert some shortcodes anywhere to have this additional information visible in the dashboard, I will appreciate detailed instruction on how to do this.

    Hi Jaroslav,

    You’re welcome and thanks for sharing the details.

    Your use case is pretty special because it combines on- and off-line sales hence the workaround using the registration referrals. Otherwise in a fully on-line environment, which is actually the main purpose of the plugin, you wouldn’t have to worry about checking the registration or even checking anything, since all that data will be recorded through the referred sale.

    The only detail that might make your tasks easier would be to make sure that each sale follows the registration route so that you can keep track more easily on which customer is referred.

    Hi Jaroslav,

    May I ask you why you need to find out who is the new affiliate’s referrer?
    If you check the new registration referral under Affiliates > Referrals, then you can find who is the referring affiliate for that registration. However, as a feature this is more meaningful when you are using tiered commissions, an affiliate is referring new affiliates and each time one of the new affiliates refers a customer, the affiliate gets a commission for the sale while the referring affiliate gets a tiered commission.

    For example affiliate Paul refers affiliate Jim.
    Affiliate Jim refers a new sale.
    Affiliate Jim will get a commission for the referred sale and affiliate Paul gets a tiered commission because he has referred affiliate Jim.

    All this is available as a feature of Affiliates Enterprise edition and the affiliates relations can be reviewed by the admin via Affiliates > Manage Affiliates, but it depends on what you’re trying to accomplish.       thank you for your email. It is most helpful.
      I didn’t realise that I can see the new registration’s referrer in the Affiliates>Referrals section.
      To answer your question about why I need to know who is the referrer for each affiliate is that my business is not product-based but service-based and so sales are not coming through my website necessarily. The registration of new customers does.
      I have several locations/shops, where owners promote my service for a flat fee for every purchase.

      I need to know who is referring who for the following reasons:
      To be able to credit each referrer regardless of the channel used to make the purchase, e.g. over the phone, or via WhatsApp.
      To be able to measure the performance of each referring place to know where it makes sense to focus my marketing.

      The only thing I need for this to work is to get the registration done through the affiliate link/make the first order online and know who is the referrer for the registration.

      You have answered my question on how to find who is the referrer for each registration, and I can credit each affiliate with the referral fee manually when I need to, so I guess I am good.
      It is just a shame that there is not an easy way how to see the referrer by looking at each affiliate’s record, so I think I have to keep a spreadsheet of this.

      Is there any better way or perhaps a feature in Affiliate Enterprise to have this tracked easier right in the plugin dashboard?

    Hi Jaroslav,

    Even though this is another different feature of Affiliates Pro you can utilise the User registration integration found in Affiliates > User Registration. Even if you don’t use WC then you can keep track of the referred user-registrations and perhaps use this tool to grant the desired commissions to your partners.

      Hi George,
      thank you again for your help with Affiliates. However, I hope you can help me a bit more as I am having a hard time with this.
      How can I see from the list of affiliates in the dashboard who is their referrer?
      I simply cannot figure this out.
      When a new affiliate is created by registration through the affiliate link, I can only see a new affiliate but still can’t see who was the referrer.
      Can this be set up anywhere so this information is displayed?
      I have set up the registration of a new user through Gravity Form during the first purchase and once a new user is registered it creates an affiliate.
      I also see from testing that each new affiliate generates a commission for the referrer.
      However, it is easy to see it if all the referrals are done by me as a test, so I know what commission is supposed to be generated to whom.
      However, as all the affiliates are displayed in the dashboard on a single list without any tag of whose referees they are, it is impossible for me to track back from whom are these commissions exactly if let says 100 people will register through 7 different referral links.
      I need to see who exactly (perhaps email address or a name) is referred by whom.
      I hope this makes sense.

    thank you for your reply.
    I see that online referrals are recorded automatically, however, I can’t figure out how to see by which referrer the newly registered member on my online shop is referred, if by any.
    I don’t use WooCommerce to utilise Permanent Affiliates Add-on.
    To get the idea of what problem I am trying to solve here is that I have a few locations where my cards are left for grabbing with a QR code with a referral link to the place/owner of the place.
    Each purchase of my services made by the customer that found me at the specific location is then contributed with a fixed nominal reward to the location to make things simple.
    However, the location manager doesn’t know which of their customers used my services. The only way how I can know is that the new affiliates’ information during registration has embedded the referrer in it.
    I am looking for a way to measure the performance of each referral place as well as to be able to manually credit the referrer for the online purchase of every referee.

    I hope this makes sense.
    Any idea what I can do to achieve this with the Affiliates Pro plugin?

    Hi Jaroslav,

    Welcome to our support forum and many thanks for using our affiliate tool on your shop.

    When there is a new referred sale that has been placed on-line then the person/affiliate that referred that sale will be recorded by Affiliates Pro plugin, in this case no further action is needed.
    However, for the sales that are referred offline then you have to know who is the referrer. Once the referrer is known to you then you can add a new referral manually and choose the referring affiliate from the select option found in the same page.
    FYI, you can add a new referral if you go to your Dashboard and then visit Affiliates > Referrals and click on the Add+ button. This manual operation is also described in detail, in the plugin’s documentation page below under the section Adding Referrals Manually:
